What is a rebill?
A rebill occurs when our partner carriers bill us for incidental and accessorial charges related to a shipment after the shipment is completed. These charges are typically related to delivery or pick-up requirements not listed by the shipper at the time of booking.
Rebills are typically applied within 30 days after the completion of the integrated shipment. However, on rare occasions, rebills can take up to 90 days. For a step-by-step guide on how to review and dispute rebills in the Dashboard, click here.
Common reasons for rebills
Residential delivery fee for destinations not marked as residential at the time of booking.
The delivery location had limited access (e.g. a library or school).
An appointment was needed for delivery but not marked as such at the time of booking.
A liftgate was required, but the liftgate accessorial was not booked.
Storage fees if freight needs to be held for multiple days.
Weight and dimensions are listed incorrectly.
Inaccurate or incomplete freight descriptions
The best way to avoid rebills
Residential—Confirm your delivery location (residential service is only available for deliveries) is not a residential/non-commercial area before booking. Remember that a standard commercial business has a dock or forklift and is located in a major metropolitan area (also note that if there is no dock, a liftgate is likely needed).
Please note that for LTL shipments, our partner carrier, XPO, requires an Appointment accessorial to be added at the time of booking to perform a call-ahead on residential shipments.
Appointment(s) - An appointment may be needed if your shipment is going to a major distribution center or warehouse. Always confirm and add the appointment accessorial when booking your shipment.
Incorrect weight or dimensions - Ensure your freight has been properly weighed, measured, and protected. Guessing weight or dimensions is never a good idea and can commonly lead to weight discrepancies that can be very costly!
Storage fees - Always provide the best contact number or email address for your receiver to be contacted. If the phone number is invalid or the receiver cannot be reached, storage fees can be applied to hold the freight for multiple days.
Inaccurate or incomplete freight descriptions - It’s important to enter a clear and accurate freight description when booking a shipment. This means providing an accurate description of the commodity that is being shipped. Avoid generic labels such as “boxes”, PO numbers, reference numbers, container numbers, and terms such as “general freight” or “Freight of All Kind/FAK”). If the description is too vague, partner carriers will not honor the existing quote, and may reclass it on a commodity basis, which can result in higher rebills. To avoid this, always provide a description that reflects the actual cargo being shipped—this ensures the right class, rate, and handling from the start.
